Flowset is a game changer for Intercept Music

Intercept Music uses Flowset Navigation Maps to coordinate complex, multi-agent music-business processes inside Zendesk.

Intercept Music is a Los Angeles-based music distributor that serves independent artists across the full arc of the music business. The team manages onboarding, sales, marketing, distribution, and release coordination simultaneously, often on behalf of multiple clients at once. That breadth of work demands precision at every step.

Challenge

Running five distinct business areas inside Zendesk sounds manageable until you look at what each one actually requires: multiple agents coordinating across multiple activities, each with its own prerequisites, ordering constraints, and parallel execution demands.

Intercept Music tried building those workflows the Zendesk-native way: triggers, automations, webhooks, and API integrations. The setup worked for a while. But keeping all those disparate pieces in sync was expensive upfront and nearly impossible to maintain. When a process changed, the team had to chase down every trigger and automation it touched. When a new agent joined, there was no built-in guidance. Agents had to learn through documentation, tribal knowledge, or by breaking something.

The complexity ran through all five areas of the business. That made the maintenance burden continuous, not occasional.

Solution

Intercept Music adopted Flowset Navigation Maps (Work Engineering / Agent Navigation) to replace the trigger-and-automation stack with declarative workflows configured directly inside Zendesk.

Navigation Maps let Intercept Music define each complex process end to end. Parallel tasks run through sub-tickets that automatically block the parent until complete, so nothing progresses out of sequence. Dynamic progression logic reads prior outcomes and ticket form values, which means the workflow adjusts itself based on what already happened. Agents don't need to remember what comes next.

The old setup scattered process logic across triggers, automations, and external integrations. Navigation Maps consolidate it. Micro-automations live inside the workflow. Contextual prompts and full documentation appear directly in the ticket at the step that needs them. Agents follow a process the way drivers follow GPS: one clear instruction at a time, with the route already planned.

Intercept Music's team runs onboarding, sales, marketing, distribution, and release workflows inside the same system, using the same approach.

Results

Intercept Music streamlined five distinct business areas under a single Navigation Map layer. The team delivers exceptional client service and supports continued growth without rebuilding its process infrastructure each time soIntercept Music is a Los Angeles-based music distributor that serves independent artists across the full arc of the music business. Its team handles onboarding, sales, marketing, distribution, and release coordination at the same time, often for several clients at once, and every one of those areas depends on getting the details right.

Workflows that outgrew the native tools

Each of the five areas involves multiple agents coordinating multiple activities. Some steps have prerequisites, some have to happen in a fixed order, and some only run efficiently in parallel.

Intercept Music first built those workflows the Zendesk-native way, with triggers, automations, webhooks, and API integrations. It worked for a while, but the setup was expensive to build and nearly impossible to keep in sync. Whenever a process changed, the team had to track down every trigger and automation it touched. Because the same complexity ran through all five areas, the maintenance never really stopped.

Onboarding new agents was harder than it needed to be, too. Zendesk had no way to build guidance into the tickets themselves, so new starters relied on documentation and on time from experienced colleagues.

One map for every process

Intercept Music replaced the trigger-and-automation stack with Flowset Navigation Maps, which let the team define each process end to end as a workflow configured directly inside Zendesk.

Parallel work runs through sub-tickets that block the parent ticket until they are complete, so nothing moves ahead out of sequence. The workflow reads the outcomes of earlier steps and the values on the ticket form, and adjusts what comes next accordingly. Small automations live inside the workflow itself rather than in separate triggers, and the prompts and documentation an agent needs appear in the ticket at the step where they need them.

For agents, the experience is a bit like following GPS: the route is already planned, and they only ever need the next instruction. Onboarding, sales, marketing, distribution, and release workflows all run the same way, in the same system.

Training that happens in the ticket

With all five business areas running on Navigation Maps, Intercept Music can keep delivering for clients and keep growing without rebuilding its process infrastructure every time something changes.

The biggest shift was in training, which the team describes as virtually eliminated. New agents can work through complex processes without memorizing steps or leaning on colleagues, because the guidance is in the ticket.

Like any system built for processes this sophisticated, Flowset came with a learning curve during setup, and Flowset's support team stayed responsive through the proof of concept and implementation. Tod Turner, Intercept Music's CEO, now recommends Flowset without reservation.

In Tod's words

The Flowset app has been an absolute game-changer for us! We have several complex onboarding and support processes that involve multiple agents coordinating multiple activities. Each activity might have prerequisites, might need to be performed in a specific order, or to be efficient, some must be executed in parallel. As advanced users of Zendesk know, implementing complex workflows and keeping track of where you are in the process is not trivial to implement or maintain right out of the box. Setting up various triggers, automations, webhooks, and API integrations to enable complex support workflows is challenging and expensive. Keeping all those disparate pieces synced and efficiently maintaining them once implemented is nearly impossible. Flowset has made it easy for us to do just that. The app virtually eliminates the need for most of these external processes by providing "micro-automations" built directly into our workflows. Workflows can be configured with parallel tasks that are implemented using sub-tickets that can automatically block the parent ticket until complete. Tickets can progress and dynamically adjust the workflow based on outcomes of previous activities and ticket form values. Agent training is virtually eliminated because the ticket workflow guides our support agents automatically through the complex processes while providing informational prompts and full documentation if needed right from the ticket. There was a bit of a learning curve to get up and running, but it was well worth the investment. Flowset's customer support was quick and responsive to get us past any challenges during our initial proof of concept and implementation. Once you start using the app, you quickly realize how amazingly flexible, and powerful it is and wonder how you lived without it. I 100% recommend Flowset!
